
Undergraduate mailing lists
The JCR has a variety of e-mail lists which we run in order to be able to communicate with all the undergraduate members of college. The e-mail lists are moderated by the JCR Computer Officer to make sure that they are inline with the E-mail List Guidelines agreed by Exec.
Code of Practice
Please adhere to the code of practice when sending e-mails out to the student body:
- Send your e-mail in plenty of time. Every e-mail to the list must be moderated, and may take anywhere from 5 minutes to a day to send out, depending on how busy I am! Please don't send messages for something happening in an hour or so's time.
- Ensure that you put the full day and date on your e-mails - just putting "tomorrow" is not good enough as e-mails may not be approved until very late at night or the next morning, by which time "tomorrow" is wrong.
- Messages sent out after 11pm will not go out until the following morning, so ensure you use the full date to prevent confusion.
- If you have a few things to send to the list, send them as one e-mail to prevent inbox overload.
- Please make sure you have read your e-mail through before you send it, that you've included all the information you want, and have included any necessary attachments.
- An e-mail can only be cancelled or stopped by e-mailing me (sscsu.lists AT sid.cam) with "CANCEL MESSAGE" in the subject line. The quicker you do this the better, as I can approve messages very quickly.
- The JCR Computer Officer cannot modify e-mails after they are sent. If you need a message editing, please cancel the previous message (see above) and re-send a new message as soon as possible.
- If you wish to send a large attachment to an e-mail list, try to put the file on some web space with a link to it in your e-mail. This prevents everyone's inboxes becoming clogged with large e-mails and also makes the life of those on slower connections much easier, as they don't have to wait for a massive download. If you need help uploading a file onto the web, get in touch with me.
- You cannot post items or sale, lost property notices or similar to the e-mail lists. Please use the p'lodge blackboard or the JCR message boards. This is, again, to prevent inboxes filling up with unnecessary messages.
- If you are unsure whether your e-mail can be sent to the list, contact the JCR Computer Officer for help.
The main e-mail list is students AT sid.cam.ac.uk which goes to all the undergraduates and is also copied to the Dean and the Pastoral Dean. Graduates do not get a copy of e-mails sent to this list by default but can be added to it by e-mailing the JCR Computer Officer.
Year-Specific Lists
The other lists that can be posted to are:
- students-1st AT sid.cam.ac.uk - First year students only
- students-2nd AT sid.cam.ac.uk - Second years
- students-3rd AT sid.cam.ac.uk - Third years
- students-4th AT sid.cam.ac.uk - Fourth years
If you are sending a message to all four years, please use the students AT sid.cam.ac.uk address as this will get your email sent out quicker!
Graduate mailing lists
The MCR runs its own mailing list for graduate students, which is administered by the MCR Computer Officer. For full details, please refer to: http://www.srcf.ucam.org/sidneymcr/computing/mailinglists.php
Graduate students do not get a copy of e-mails sent to the undergraduate lists by default, so if you are trying to contact all students you should include both the undergraduate and graduate mailing lists.
